FindMeAJob Ltd ("we", "us", "our") operates findmeajob.co.nz. This Privacy Policy explains how we collect, use, store, and protect your personal information in accordance with the New Zealand Privacy Act 2020.

We use localStorage and cookies for:

• Remembering your theme preference (light/dark mode)
• Tracking tool usage for the email gate (first use is free, then email requested)
• Storing your email locally to avoid repeated prompts

2. How We Use Your Information

• Job matching: Your CV text is sent to Anthropic (Claude AI) to extract skills and match you to jobs. CV text is not permanently stored after processing unless you have an account.
• CV and cover letter generation: Your CV and the job ad you provide are sent to Anthropic to generate tailored documents.
• Interview simulation and Guided Interview: Your spoken answers are processed locally in your browser using the Web Speech API. The text of your answers is sent to Anthropic so the AI can generate follow-up prompts and organise responses into a structured brief. AI organises responses; final hiring decisions are made by the employer.
• Job alerts: Your email and preferences are used to send weekly job match emails via Resend.
• Job applications: When you apply for a job, your cover letter, CV, and contact details are sent to the employer via email through Resend.
• Employer listings: Job listing details are stored and displayed publicly on the website.

3. Guided Interviews

If you choose to attach a Guided Interview to a job application, your spoken answers are transcribed and used to generate a structured brief for the employer. AI organises candidate responses into a brief; final hiring decisions are made by the employer, not by AI. The following rules apply:

• Audio never reaches our servers. Speech-to-text happens in your browser, using its built-in speech recognition (Google’s on Chrome, Apple’s on Safari). We only ever receive the resulting text transcript. Your browser may transmit audio to its speech-recognition service under that vendor’s terms; that relationship is between you and your browser vendor.
• Transcripts stay in your account only. The transcript of your interview is saved on your profile, used to generate the brief, and re-used if you apply to a new role. The transcript is never shared with employers.
• The employer sees only an AI brief. Employers receive a structured summary (recommendation, why-interview, watch-outs, skill match, communication signal) — never the transcript, never any audio, never quote excerpts.
• You can review and delete anything anytime. All saved interviews, transcripts, and briefs are visible to you in your account dashboard with one-click delete.
• Consent is recorded. Before the interview starts, we show a clear consent screen explaining all of the above. We log your consent timestamp.

You may apply for any job without recording an interview. The Guided Interview is optional and never required.

4. Saved Tool Outputs

If you are signed in, you can save the outputs of our other tools (CV scores, cover letters, salary scripts, email drafts, decoded job ads, practice scripts, job comparisons, interview question lists, career checks) to your profile. Saved outputs:

• Are only visible to you in your account dashboard.
• Are not shared with employers, with us beyond storage, or with any third party.
• Are deletable individually, in bulk, or by deleting your account.
• Are stored alongside your profile in our database (Upstash Redis, Sydney).

You can use any tool anonymously and never save anything. Saving is opt-in, after the output is shown to you.

We do not sell your personal information to any third party. We do not use advertising or tracking pixels. Each provider above operates under its own data processing agreement and complies with applicable data protection laws. By using our service, you consent to your data being processed by these providers in the countries listed.

Overseas data transfer (Privacy Act 2020 IPP 12). Your account data, saved tool outputs, and Guided Interview transcripts are stored in Australia (Upstash Redis, Sydney region). AI processing for briefs, CV rewriting, cover letters and other tool outputs happens in the United States (Anthropic). Application emails are delivered via the United States (Resend). Australia and the United States have data protection regimes that may differ from New Zealand's; we have selected providers that publish enterprise-grade security practices and operate under their own data processing agreements. By creating an account or using a tool, you authorise us to disclose your personal information to these overseas providers for the purposes described above.

Data breach notification. If we become aware of a privacy breach that has caused or is likely to cause serious harm, we will notify the Office of the Privacy Commissioner and the affected people as soon as practicable, in line with section 114 of the Privacy Act 2020. 6. Data Storage and Security

• Account data, transcripts, and saved tool outputs are stored in Upstash Redis (encrypted at rest, hosted in Sydney region)
• Passwords are hashed using scrypt and never stored in plaintext
• CV text uploaded for one-time matching is not permanently stored
• CV text for registered accounts is stored to enable faster future matches
• Interview audio never reaches our servers — your browser performs speech-to-text locally
• All data transmission uses HTTPS encryption
• We do not store credit card or payment information (our service is free)
• We maintain an internal audit log of sensitive operations (consent recorded, brief viewed, account deleted) retained for 12 months

7. Your Rights Under the Privacy Act 2020

Under the New Zealand Privacy Act 2020, you have the right to:

• Access: Request a copy of all personal information we hold about you. You can also download all your saved data directly from your account.
• Correction: Request correction of inaccurate personal information.
• Deletion: Request deletion of your account and all associated data, including saved tool outputs and transcripts.
• Object to automated decisions: See section 8.

You can also delete your account, individual saved outputs, and transcripts directly through your account dashboard on the website.

8. Automated Decision-Making and AI Briefs

When you attach a Guided Interview to an application, we generate a structured brief that the employer sees alongside your CV. This brief is generated by AI based on your CV, the job description, and your interview answers (if attached). AI organises candidate responses into a structured brief. Final decisions about hiring are made by the employer, not by AI.

You should know:

• The AI does not make hiring decisions. The brief is a first-round shortlisting aid. The employer makes the actual decision and conducts a real interview before any offer.
• You can dispute the brief. If you believe an AI brief misrepresents you, email hello@findmeajob.co.nz with the application reference. We will review the transcript on file and respond within 20 working days.
• The AI is instructed to ignore protected attributes. Our AI is prompted not to infer or use information about your name, photo, age, gender, ethnicity, address, marital or family status, religion, disability, or sexual orientation, and not to penalise career gaps.
• Opting out. You can apply to any job without a Guided Interview attached. You can delete a saved interview anytime; once deleted, it cannot be re-used to generate a brief.

9. Data Retention

• Job seeker accounts: Retained until you delete your account, or 24 months after your last sign-in (we will warn you 30 days before deletion).
• Employer accounts: Retained until you request deletion.
• Job listings: Active for the plan period (30, 60, or 90 days). Then moved to expired status. Deleted on request.
• Saved tool outputs (transcripts, CV scores, cover letters, etc.): Retained until you delete them or your account.
• Interview audio: Never received or stored by us. Speech-to-text happens in your browser; only the transcript text is sent to our servers.
• Guided Interview briefs (employer-side cache): Cleared 90 days after the application is closed. Your own copy stays on your profile until you delete it.
• Audit log (sensitive-operation events): 12 months.
• Email alert subscriptions: Until you unsubscribe.
• One-time CV uploads (no account): Not permanently stored.
• Blog posts: Retained indefinitely.

10. Children

FindMeAJob.co.nz is not intended for use by children under 16 years of age. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.

11. International Data Transfers

Your data may be processed outside New Zealand by our third-party service providers, as listed in section 5. These providers maintain appropriate security measures and operate under data processing agreements. By using our service, you consent to this processing.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Material changes will be communicated via the website and, where appropriate, by email.

13. Complaints

If you have a complaint about how we handle your personal information, please contact our Privacy Officer first at hello@findmeajob.co.nz. If you are not satisfied with our response, you can lodge a complaint with the Office of the Privacy Commissioner at privacy.org.nz.

Our Privacy Officer is responsible for compliance with the Privacy Act 2020 and is your first point of contact for privacy questions, access requests, corrections, deletions, and complaints.
